How a wholesale napkin order works

Nine clear steps from first message to delivered goods — with the two timelines that matter most: samples in 5–7 days and bulk production in 10–15 days after artwork approval. Custom runs start at a 5,000-piece MOQ.

  1. 1

    Inquiry

You send a brief — product type, size, material, colour, quantity, and destination port — or simply a reference photo. The more detail, the faster and tighter the quote.

  2. 2

    Quotation

We return a structured quote: unit price by volume tier, tooling/plate fee (if any), lead time, Incoterm (EXW/FOB/CIF) and payment terms. No hidden line items.

  3. 3

    Confirmation

You confirm the specification and price, and we issue a Proforma Invoice. A deposit (typically 30%) opens the production slot.

  4. 4

    Design proof

Our team lays out your artwork to print-ready specs — logo placement, Pantone colours, fold and bleed. You review and approve the digital proof before anything prints.

  5. 5

    Sampling

Physical samples are produced and shipped to you (usually 5–7 days). This is where you verify handfeel, print and colour in person before committing to volume.

  6. 6

    Mass production

On sample approval, the full run begins. In-line QC monitors print registration, ply bond and fold accuracy throughout the 10–15 day bulk window.

  7. 7

    Packing

Goods are bundized, cartoned or private-label packed per your spec, then palletized and stretch-wrapped. Packing lists and carton marks are prepared for customs.

  8. 8

    Logistics

We arrange consolidation to Ningbo/Shanghai port, book container space, and handle export docs (commercial invoice, packing list, Bill of Lading, Certificate of Origin). You track the shipment to your port or warehouse.

  9. 9

    After-sales

Support does not stop at delivery. We handle: (a) quality claims — send photos within 15 days of arrival and we investigate, with replacement or credit on confirmed issues; (b) re-orders — approved samples are archived so repeat SKUs match the first shipment exactly; (c) documentation — we re-issue or amend shipping and compliance docs on request; (d) continuous improvement — feedback on ply, softness or print is fed back into the line; (e) account support — a dedicated contact for ongoing programs and quarterly forecasting. Long-term partners get priority scheduling and volume pricing.

Direct answer — how long does a custom napkin order take?

From confirmed artwork, samples take about 5–7 days and bulk production 10–15 days; shipping adds transit on top (sea freight to the US/EU is typically 20–40 days depending on port and season). The minimum order for custom printing is 5,000 pieces per design. Total door-to-door timing = sampling + bulk + freight, so plan a realistic 6–10 week window for a first custom program including ocean transit.
